A Day in the Life of a Sponsored Programs Administrator
The Great Subaward Chase
Here in SPA, we like to think of ourselves as research's air traffic controllers. We coordinate moving parts, keep projects on course, and occasionally prevent collisions between deadlines, regulations, and reality.
One of our favorite recurring adventures? The subaward.
It usually starts innocently enough, a principal investigator emails: "We're collaborating with three institutions. This should be a straightforward subaward."
Whenever we hear the phrase "straightforward subaward," we know we're about to embark on a journey.
The proposal is submitted. The award arrives. Everyone celebrates. The science is ready to begin.
Then comes the time to issue the subaward agreement.
SPA sends out the agreement and waits for signatures.
And waits.
And waits.
A week later, we receive an email: "Could you resend the agreement?"
Of course.
Two days later: "Can you send the editable version?"
Absolutely.
The next week: "Our signatory changed."
No problem.
Then: "Can you update the budget?"
Sure.
Followed by: "Actually, can we revise the scope of work as well?"
Naturally.
By this point, the SPA administrator has sent seven versions of the agreement and can identify the subrecipient organization solely by their email signature.
Finally, after weeks of collaboration, revisions, and diplomacy worthy of international peace negotiations, the fully executed agreement arrives.
