Leading Your Student Organizations at UMB

Students have an opportunity to contribute to the creation of a robust community through leading a student organization at UMB. 

Here are some resources to help you lead and manage your student organization. 

All student organizations at the University of Maryland, Baltimore have a responsibility to know, understand and adhere to UMB policies, procedures, and guidance as well as local, state, and federal laws. Here are some important policies and guidance to keep in mind:

All-Comers Guidance

All student organizations must allow any student to participate, which includes becoming a member, regardless of their protected status or beliefs. All students should be allowed to become an officer regardless of their protected status.   

Student organizations are permitted to hold meetings and events that are only open to members, officers, and/or executive boards that are intended for members only.  

To be a "recognized" and/or registered student organization, the organization’s constitution, bylaws, and activities should be in compliance with this all-comers guidance. All student organizations that receive University funding or utilize University resources for events must comply with the all-comers guidance.

Health Education & Clinical Care Guidance  

Student organizations are not permitted to engage in health education or direct clinical care without faculty approval and supervision, where appropriate. Consult with your Student Affairs Deans Office and/or UMB Student Affairs to learn additional information about expectations or if you have questions.

Leadership transitions are a normal and important part of student organizations. UMBengaged can help your organization stay organized, maintain continuity, and set new leaders up for success.

Why It Matters

UMBengaged supports your organization by: 

  • Keeping officer roles and rosters accurate
  • Providing a central place for important documents 
  • Ensuring new leaders have access to tools and information
  • Preserving knowledge from year to year

Elections in UMBengaged

Student organizations can manage elections through UMBengaged. 

Using the Elections tool, you can: 

  • Create ballots for officer positions 
  • Define voter eligibility
  • Set timelines and promote participation
  • Track and document results  

Tip: Plan elections at least 4–6 weeks before leadership turnover to allow time for a smooth transition. 

After elections: 

  • Share results with members 
  • Save records in the Files section of your organization’s UMBengaged page

Supporting a Smooth Transition

A strong transition goes beyond elections. Be sure to: 

  • Update officer roles promptly so new leaders have access  
  • Review and clean up your roster to ensure accuracy 
  • Upload key documents to the files section of your student organization’s UMBengaged page (e.g., constitution, budgets, transition notes) 
  • Communicate clearly with members about new leadership

Outgoing Officers

Incoming Officers

  • Confirm your roles and access
  • Review past documents and resources
  • Begin planning for the upcoming year

Registration and Re-Registration Defined

All student organizations can be registered on UMBengaged, the official university listing of student organizations at UMB. Registration must be submitted by a current UMB student.

Benefits of being registered include: 
  • Access to digital display, flyer, and poster templates 
  • Submit room reservation requests for locations on campus  
  • Eligibility for funding, where applicable
  • Meeting one requirement for eligibility to apply for affiliated status with the USGA. 
  • Manage your organization digitally on UMBengaged including:   
    • Officer elections 
    • Access to a website 
    • Event marketing 
    • Forms management 
    • Community building 
    • Engagement tracking 
    • Student membership and recruitment 
  • Transition planning 
  • Succession planning 
  • And more... 

To maintain access to the benefits listed above, student organizations are required to update their organization information annually in UMBengaged through a process called Re-Registration. 

 

 

Re-Registration Process (current student organizations)

Students have an opportunity to create community in your School/Program and/or across the University through leading a student organization at the University of Maryland, Baltimore (UMB). Part of the responsibility of leading a student organization includes ensuring that your group is registered on an annual basis.  

The registration process is mandatory for all student organizations who want to use UMBengaged. Registering your existing student organization is simple, and includes the following:  

1. Student organization name  
2. Updated Constitution (Sample Constitution), if applicable   

a. Please note, there are some changes in the sample constitution. You are welcome to review and make updates to your student organization constitution.

3. Updated student organization officers: 

a. President (UMB student) 
b. Vice-President (UMB student) 
c. Other officers (UMB student) 
d. Advisor (UMB staff/faculty) 

4. Confirm your School/Program contact or USGA Affiliated Status
5. Confirm your understanding of the UMB All-Comers Guidance (see policies and procedures above)

Information about the All-Comers Guidance can be found online. The Fall 2025 re-registration deadline was Friday, November 7, 2025 at 12 Noon. Late registrations are open through the same process. Officer Confirmation Form (Including Advisors)

If you are having a concern with the Officer Confirmation Form, please follow the below steps:

4. Fill out form and submit.

 

Registration Process for New Student Organizations

New student organizations can register in the student engagement platform, UMBengaged. Additional information can be found online at Starting A New Student Organization

Student organizations can be affiliated or receive support from a School/Program OR affiliated status with the University Student Government Association (USGA). Please contact the following to request additional information:   

  • School/Program Student Organizations: Student Affairs Deans in each School 
  • University Wide Student Organizations: Student organizations may be eligible to become a USGA Affiliated Group through a separate process. Please review the USGA Constitution for additional information.
