Images and Alt Text

Images and logos may not be embedded in emails, except for branded images specifically approved for email use.

All images must include meaningful alternative text ("alt text").

To add alt text in an Outlook web-based signature:

  1. Go to Settings > Mail > Signatures.
  2. Select your signature.
  3. Right-click the image and choose Add Alternative Text (or Edit Alt Text).
  4. Type a description in the pop-up window.
  5. Save the alt text, then save the signature.

General Rules

  • Only approved branded messages and taglines are allowed in signature blocks. Religious or personal messages, non-approved branded messages, and personal websites are prohibited.
  • Images and logos may not be embedded in emails, except for branded images specifically approved for email use.
  • Background images and colors are prohibited — all backgrounds must remain white.
  • Text must be black or dark blue.
  • Hashtags are not permitted.
  • Addresses must follow Associated Press (AP) style. For example, street, avenue, and boulevard should be abbreviated as St., Ave., and Blvd.
