Use the Award Modification form whenever an incoming award is being modified or when a signature from an institutional official is required. This includes situations such as non-competing continuation submissions.

General Procedures for Award Modifications

The Principal Investigator (PI) is responsible for initiating any request for changes to an award. Depending on the type of change, the request may be submitted via a form, email, memo, or an online sponsor system. For guidance on internal approval procedures or sponsor requirements, contact your Sponsored Programs Administration (SPA) team.

Requests that require NIH prior approval—such as withdrawal of an application, approval of $500,000 or more in direct costs, change of PD/PI, no-cost extensions, and carryover—should be submitted through the eRA Commons Prior Approval Module. Prior Approval Module tutorials are available.

If the request is submitted via email to the NIH, forward it to SPA. Ensure the email clearly identifies it as a prior approval request and includes the complete grant number in the subject line. SPA will review the request and forward it to the NIH Grants Management Officer listed on the Notice of Award.

The PI submits the request to SPA following school or department procedures. SPA may require additional internal approvals before signing on behalf of the University. The sponsor must provide written approval for the request, which may take the form of a letter, email/electronic notification, or formal award modification from the sponsor’s grant or contract officer.

Once approved, SPA will process the change and update Kuali Research as needed. SPA will also notify Sponsored Projects Accounting and Compliance (SPAC), and the project record will be updated accordingly to reflect the approved change.
