About DataMover

DataMover is a UMB tool that helps move files into and out of the Secure Research Environment (SRE). It was developed in collaboration with UMB’s SRE IT team and Microsoft.

When files are moved out of the SRE, DataMover scans them for protected health information (PHI) and personally identifiable information (PII). If PHI or PII is found, the file is flagged and the transfer is paused. The user can review the finding and provide a justification if the file should still be moved. The Research Informatics Core (RIC) then reviews the request and makes the final decision.

Files moved into the SRE are not scanned for sensitive information during the DataMover ingress process.

Move Files Into the SRE

  1. Go to the DataMover outside site: https://outside-datamover.umaryland.edu/.
  2. Upload the file you want to move into the SRE.
  3. After the file is approved, log in to the SRE.
  4. Go to the DataMover inside site: https://inside-datamover.umaryland.edu/.
  5. Download the file to your SRE project. The automated approval process may take up to 15 minutes.

Move Files Out of the SRE

  1. From inside the SRE, go to the DataMover inside site: https://inside-datamover.umaryland.edu/.
  2. Upload the file you want to move out of the SRE.
  3. If the file is approved, go to the DataMover outside site from your local computer: https://outside-datamover.umaryland.edu/.
  4. Download the approved file.

If a File Is Flagged

If DataMover flags a file for possible PHI or PII, the transfer will pause. Review the finding and provide a justification if the file should still be moved out of the SRE. The RIC will review the request and make the final decision.

Please Note: This is a beta version of the application. Future functionality is still being developed; all attributes of the tool are subject to change.

Using DataMover

1. Outside of the SRE, open your browser of choice (Chrome, Edge, etc.) 

2. Navigate to the external site: outside-datamover.umaryland.edu

Please Note: *SoM users should use a Private/Incognito Session [press CTRL+SHIFT+N to open a private window] or a different browser to avoid signing in with the SoM account. 

3. Sign in with your "@umaryland.edu account"

4. Note the ENVIRONMENT; it should list "Outside-Researcher"

5. Click Upload Document button to open the "Upload Document Window"

6. Click "Choose File" and select the file you want to bring into the SRE

7. Add a tag if desired by selecting +Add

8. Click Upload

9. Refresh Your page to see the status of the transfer 

10. Once completed, the file will be listed in the APPROVED tab

11. Log into the SRE

12. Within the SRE open a Microsoft Edge Browser and navigate to inside-datamover.umaryland.edu

13. Login with your UMID ([username]@umaryland.edu) 

14. Click the APPROVED tab

15. Download the file to your desired location.

2. Navigate to the internal site: https://inside-datamover.umaryland.edu

3. Sign in with your @umaryland.edu account

4.  Note that the ENVIRONMENT should be INSIDE RESEARCHER:

5. Click upload document button to open the upload document window

6. Click Choose file and select the file you want to take out of the SRE:

7. Add a tag if desired by typing the tag and clicking +add

8. Click Upload

  • Please note that the scan can take up to 15 MINUTES

9. Refresh the page to see the status of the AI review: 

THE REVIEW WILL YIELD ONE OF TWO RESPONSES:

A. REQUIRES JUSTIFICATION

B. APPROVED

  • Sign IN WITH YOUR @UMARYLAND.EDU account
  • Click the Approved Tab
  • Click DOWNLOAD to get your file 

Important Information

  • The tool moves files every 10 minutes.
  • If a file appears to be stuck, wait 10–20 minutes and refresh the page.
  • If there is still no change, email sre-support@umaryland.edu with details about the file and the user’s name.

  • Only you can see the files you upload.
  • Only the All My Documents and Approved tabs are available on the external site.

  • JSON files
  • Excel files
  • PDFs
  • Text files
  • Word files

  • Upload no more than five files in a single batch.
  • Larger batches may cause errors because of current technical limitations.
  • After upload, a random string of numbers is added to the file name to ensure each file has a unique value for the AIs.

  • All My Documents: Shows all documents you have uploaded and each file’s current status.
  • Approved: Shows files that have been approved for download.

Files uploaded to the tool must currently be deleted manually by the user or an administrator. We recommend deleting files from the site once you are finished using the tool.
