Accessible meetings and events ensure that everyone can participate fully and equitably. By planning with inclusion in mind from the start, organizers remove barriers, strengthen engagement, and create spaces where all voices can be heard.

Section 508: Accessible Meetings

Use an Accessible Meeting Platform

Your virtual meeting tool should supports screen readers, keyboard navigation, and live or automated captioning. All third-party software must be vetted for accessibility using the IT Procurement Compliance and Security Form.

Understand Your Audience’s Needs

Participants may rely on screen readers, magnification, keyboard-only navigation, captioning, or alternative formats for visual information. Provide a way for attendees to request accommodations such as captioning, sign language interpretation, or accessible file formats.

Ensure All Presentation Materials Are Accessible

Prepare documents, slides, and videos that meet accessibility standards — e.g., proper heading structure, alt text for images, high color contrast, and accessible file formats — so everyone can access materials equally.

Be sure to understand the fundamentals of digital accessibility and how to remediate inaccessible documents (such as PDFs or PowerPoint presentations)
