CITS eFax Services

Electronic faxing (eFax) is the ability to use Internet to securely send and receive faxes via email.  No fax machine is necessary.  How will this service work at UMB?

INBOUND FAXES

Inbound faxes have 2 scenarios: 

1) you already have a CITS managed fax number and

2) You do not currently have a fax number assigned:

  • You have an existing CITS UMB assigned fax number:   If you would like to receive faxes to your email, multiple emails or an email distribution list (DL).
    • Here’s the procedure to setup eFax service INBOUND:   Email sdtelecom@umaryland.edu, subject:  eFax (Inbound), Body of email:   Please setup eFax for fax number (example, 410-706-XXXX) and have all faxes go to this email address (list your email, multiple emails or a Distribution List).   I am aware the charges for this service will be .06 cents per page.  I have authorization to charge Billing Account Code # (BAC) XXX (or please use this SOPAF (accounting string)) for all charges for eFax services.
      • Note: This service does not require a physical fax machine.
    • Cost: .06 cents per page, charged monthly
  • You need a CITS managed UMB fax number (example, 410-706-XXXX):  You’ll need to request a UMB fax number along with eFax services.    Here are a few things you should know:
    • A UMB fax number has a monthly charge and therefore, you must provide a BAC# for all charges (local, long distance and international charges).
    • You have the option to have a physical fax machine or not. (Note:  If no physical fax machine exists and you would like to send faxes (outbound), please see Outbound eFax services below)
    • Cost:  .06 cents per page, charged monthly

OUTBOUND FAXES

This service allows you to send a fax via email (MS Outlook).

  • Requirement:  This service is only available to users with an existing CITS managed telephone number.
    • Procedure to setup eFax service OUTBOUND: Email sdtelecom@umaryland.edu, subject:  eFax (Outbound), Body of email:   Please setup eFax Outbound for my email address (xxxxxxx@umaryland.edu).   I am aware the charges for this service will be .06 cents per page.  I have authorization to charge the same Billing Account Code # (BAC) XXX for all charges for eFax services that is currently being charged for my existing CITS manage telephone extension.  My telephone number is XXX-XXX-XXXX.
    • Things you should know:
      • Be sure to have a signature on your email that clearly shows your School/Department and telephone number
      • Fax cover sheet
        • Your fax will show it is coming from UMB’s main number (410-706-3100)
        • It will include the Date, Subject, Total # of Pages and sender’s Email Address.
    • Cost: .06 cents per page, charged monthly
    • How to send a fax, it’s simple.
      • Open your email (MS Outlook)
        • In the To: field, add ‘1’ plus the 10 digit fax number (1faxnumber@efax.umaryland.edu) and add all other recipients. 
          • For Example:  14107064900@efax.umaryland.edu
      • Type your message and add any attachments
        • Caution:  Do NOT send large documents with this service.  You will be charged .06 cents per page for all pages in each attachment.  (For example, if you fax an attachment that has 500 pages, your account will be charged $30 for this one fax).   Please use email to send large documents to avoid costly fees.

Note:  UMB’s eFax service is setup to work with the following domains.  This list of domains have TLS enforced.

Timeline to setup eFax Services:   Please allow up to 5 business days for setup, approval and proper billing for all eFax services.   Timeline may vary depending on the complexity of the request.
