UMB Email Standard

In the interest of branding consistency, all University of Maryland, Baltimore (UMB) email must follow email standard guidelines. These guidelines are in place to ensure that emails are professional, utilize minimal space on servers, and provide necessary information.

Email Signatures

Email signatures must match the following example. The style and information in this example follow the University’s branding and provide all contact information included on business cards.

All phone numbers must be for a University phone. All web addresses must be for a University-sanctioned website (personal websites are not allowed). All social media accounts must be University-sanctioned.

The following are approved branded messages. You may choose to include one of these in your signature block. Only one may be used.

Anniversary Taglines

If your school is celebrating a milestone anniversary, you may opt to include an anniversary tagline. The tagline must appear as: Celebrating NUMBER years. FOUNDING YEAR-ANNIVERSARY YEAR.

General Rules

  1. Only approved branded messages and taglines are allowed in signature blocks. Additional messages, including, but not limited to, religious or personal messages, non-approved branded messages, and personal websites are prohibited.
  2. Images, including logos, may not be embedded in emails, except for branded images specifically approved for email usage.
  3. Background images and colors are prohibited. All backgrounds must remain white.
  4. Text must be black or dark blue.
  5. The use of hashtags is prohibited.
  6. Addresses must follow Associated Press style guidelines. For example, if an address contains a street, avenue, or boulevard, the name must be abbreviated as St., Ave., or Blvd.
