FAQ's about Same-Day Appointments

1. Why is the Student Counseling Center (SCC) changing services to same-day appointments?

In addition to the ongoing high demand for mental health services since the COVID-19 pandemic, the SCC will have reduced clinical staff during the fall 2022 semester. Same-day appointments allows the SCC to maximize counseling resources for students by decreasing steps to meet with a counselor and decreases likelihood of missed appointments by students. Same-day appointments mean that you will be able to talk to a therapist the same day you seek help. The SCC anticipates this change will be limited to the fall 2022 semester. Additional scheduled counseling appointments will be added as more counselors are hired.

2. When are same-day appointments offered?

Same-day appointments are offered Monday-Thursdays between 10:00 am to 1:00 pm and between 2:00 pm to 5:00 pm. On Thursdays, no appointments will be available from 11:00 am to 12:00 pm due to the weekly clinical staff meeting. Same- appointments are available on Fridays between 9:00 am to 2:00 pm. In-person and virtual appointments are available Mondays, Tuesday, Thursdays, and Fridays. Students who request an in-person appointment may be asked to meet virtually if no counselor is available to meet for in-person. The SCC has a private space that students can request to use to receive virtual appointments if they are on-campus and do not have a private location. Only virtual appointments will be available on Wednesdays as the SCC staff is working remotely this day (private space is not available for reservation).

3. When can I schedule a same-day appointment?

You should request the same-day appointment on the day that you are available to meet. The online scheduling request system will be active at 7:00 am Monday-Thursday and 6:00 am on Fridays. You must request an appointment at least 2 hours before you would like to meet. You may only request one same-day appointment per day. The online scheduling systems requires you to complete brief electronic forms (10 minutes) before you can view availability for that day.

4. What is the online scheduling system used to request same-day appointments?

The SCC uses Titanium Schedule, an electronic medical record (EMR) system that is HIPAA-compliant and used in many universities counseling centers. The link to request online to schedule a same-day appointment can be found here https://tiforms.umaryland.edu/TitaniumWeb/. The information that you provide through this system is securely stored with the Student Counseling Center and is not accessible to any faculty or staff member outside of the counseling center staff. Titanium is not connected to your academic or medical record.

5. What happens after I request online a same-day appointment?

If you request a virtual appointment, a SCC counselor will send you a Zoom invitation for that appointment prior to the start of your appointment. The Zoom invitation will have the title Virtual Same-Day Appointment. If you request an in-person appointment, a SCC counselor will send you a meeting request for that appointment prior to the start of your appointment. The meeting invitation will have the title In-Person Same-Day Appointment. If you request an in-person appointment and no SCC counselor is available in office to meet, a member of the SCC will contact you by phone and/or email to see if you are available to meet for a virtual appointment.

6. What if I want to meet for a same-day appointment, but there are no openings through the online scheduling system?

We encourage you to try the online scheduling system the next day that you are available to meet. If you have an urgent concern and cannot wait to meet another day, please call our main number (410-328-8404) and ask to speak with the clinician on coverage. An SCC counselor will gather information from you and explore options that might best fit your needs for an urgent concern.

7. What if I schedule a same-day appointment, but am unable to attend?

Please call our main number (410-328-8404) and cancel your appointment. There is no charge for canceling a same-day appointment, however the Interim Executive Director may contact you if you have frequent cancellations of same-day appointments to discuss if other modalities of counseling would be a better fit for you.

8. How long are same-day appointments?

Same-day appointments will last 30-45 minutes depending on the type of concern you have. We encourage you to prioritize your goal for the visit as the counselor will focus on that one goal to offer strategies, support, and recommendations. Towards the end of the appointment, the counselor will discuss next steps with you. These steps may include connecting you with the SCC Referral Assistance Services to find an outside provider, utilizing additional same-day appointments in the future, or referral to other departments/resources at UMB or off-campus.

9. How often can I use same-day appointments?

You may use same-day appointments as frequently as you need. Some students only need to meet with a counselor once while other students prefer to return for a few more sessions to address their concerns. If you prefer to meet with the same counselor for scheduled appointments, please discuss available options with the SCC counselor during your same-day appointment.

10. What if I want to meet with the same SCC counselor for my same-day appointments?

You may request that counselor’s same-day appointment schedule and plan to request appointments on the days that this counselor is available. Same-day appointments are available on a first-come, first-served basis so we encourage you to request your appointment as soon as the scheduling system opens (see What to Expect). If that counselor is not available to meet that day, we encourage you to check back the next day that you are available or try meeting with one of the counselors who is available. Counselors review your file prior to the same-day appointment to provide the best quality of care.

11. What if complete the brief electronic forms and see that there are no same-day appointments available that match my schedule?

We encourage you to try the online scheduling system the next day that you are available to meet. If you do not schedule a same-day appointment, your forms will be deleted from our system. If you have an urgent concern and cannot wait to meet another day, please call our main number (410-328-8404) and ask to speak with the clinician on coverage. An SCC counselor will gather information from you and explore options that might best fit your needs for an urgent concern.

12. Can I use same-day appointments to meet with an SCC psychiatrist?

No, referrals for brief mediation management services are only made by SCC counselors after consultation with the SCC Clinical Team. If you are recommended for brief medication management services through the SCC, your appointments with your psychiatrist will be scheduled. Psychiatry appointments are offered either virtually or in-person, depending on the clinical recommendations by your psychiatrist and your preference for modality.

13. What if I only want to receive counseling through scheduled appointments/my schedule does not allow me to attend appointments when the same-day appointments are offered?

Please discuss treatment options with an SCC counselor during your same-day appointment or call the main number (410-328-8404) to request to speak with the Interim Executive Director. The counselor can discuss different options for treatment depending on your symptoms and treatment goals. These options may include referral to SCC Referral Assistance for help connecting with an off-campus provider or limited, scheduled short-term counseling with an SCC counselor. Scheduled counseling is available on a limited basis and frequency during the fall semester while the SCC works on establishing more mental health treatment resources.
