How do I add, change or delete an eUMB user?
In order to add, change or delete an eUMB user you must complete an eUMB User Authorization Form and System Access Agreement. These forms may be found on our security page. Click here to go to the section about User Authorization Forms. Forms should be submitted to the Assistance and Service Center (ASC) Help Desk located on the lower level of the HS/HS Library.

What do I do if I do not see all my employees on the CA_EFP_BY_ACCT_CODE query?
Try using 3/9/03 as the "From Funding Begin Date".

Is there a report with annual salary per employee per account?
Yes, the upgraded queries for the EFP by employee ID, etc. gives biweekly salary. First, run the query. Next export the information into an excel spreadsheet then multiply the salary amount by 26 to get the annual salary.

How do I delete a line in Weekly Elapsed Time?
Please refer to page 2-12 in the Overview of Payroll Process Using eUMB training manual. First click the "Return to Search" button. Keep the EmplID, but change the date to the week (in which you want to delete the line) and press "Enter" or "Search". Next change the hours that you want to remove to 0. Scroll to the right and click the "Delete" button. Finally, click the "Save" button then the "Return to Search" button.

How do I see individual employee travel expenses?
Run the UMB_CA_ACTION_EXP_BY_EMPL_ID query, export the results to Excel, then sort by account code.

Why can't I modify my own EFP?
The eUMB system does allow a user to update his/her own EFP if the user's security profile includes route controls for her/his own department. If the user's security profile needs to be changed, the user can submit an updated eUMB User Authorization Form. It needs to be signed by the department administrator and sent to the ASC Help Desk for processing.

Why is there a problem with accrual rates (prior to PP 03-24) when employee has week 1 schedule different from week 2 schedule?
The T&L rule that converted RGH to RUH on a weekly basis was changed to look at a bi-weekly period so the employees who have schedules that are different between week 1 & 2 have the correct service hours generated. Service hours determine the accrual rates. The revised rule went into effect for PP03-24. Wrong accrual rates prior to 03-24 have to be adjusted manually.

The time that needs approval is the weekly elapsed time that had been entered since you last approved time.

How do I see individual employee travel expenses?
A payroll calendar for July - Sept 2003 will be distributed the week of June 9th. The payroll calendar for Oct - Dec 2003 will be distributed in September. By December 2003 the payroll calendar for Jan - June 2004 should be available. Thereafter, the payroll calendar will be by entire fiscal year.

How do I clear exceptions for a terminated employee?
For now, you can't. Exceptions for time (on or after termination date) will continue to appear until an archiving process is put in place.

When submitting both an employee action/new hire form and a payroll adjustment form, which departments get which forms?
The original copy of the New Hire/Employee Action and required forms listed on the checklist are to be submitted to HR Service Center and a copy of the New Hire/Employee Action Form including the payroll adjustment form are to be submitted to the Payroll department.

How do I find a new employee’s EmplID?
To find a new employee’s EmplID or employees within your department, go to Home > PeopleTools > Query Manager > Use > Query Manager and run the UMB_HR_EMPL_ID query. You may also go to Home > Administer Workforce > Administer Workforce (GBL) > Use > Job Data and search by employee’s last name.

How long does it take the HR Service Center to process an employee action/new hire form?
Paperwork received by the cut-off date/time will be in the system the following pay period. For example, paperwork received by 6/16/03 (cutoff for PP 3-26) will be in the system by 6/23/03. If there is an issue with the paperwork, then the time may be delayed.

Do I need to set up a funding profile to enter time for a new employee?
A funding profile is not required to enter time for a new employee. If the employee is non-exempt, the user has the option to enter the account code to charge while entering time on the “Elapsed Time Reporting” entry page. The user also has the option to submit a Payroll Adjustment (PAJ) with the account code to charge. If neither of the previous options have been taken and the profile has not been set up by the time actuals for that employee are distributed, the actuals will be charged to the department's PCA (Payroll Clearing Account).

When will a FYI e-mail be sent to the reviewer/approver?
The following two conditions must be met for a FYI e-mail to be sent to the reviewer/approver:


Employee's department is not equal to the account code holder's department.

Manager of the employee's department is not equal to the manager associated with the account code.

How do I find the PCA for my department?
Navigate to "Home > Define Business Rules > Define Commit Accounting (US) > Setup > Department Budget Table". On the "Find an Existing Value" page, enter Department, Fiscal Year, and Budget Level (Department). Click on “Search”. On the "Dept Budget Earnings" tab, under "Earnings Distribution", the "Account Code" is your PCA (Payroll Clearing Account).

When entering an EFP, why I am getting a “Funding end date for account 1-12345 must be less than 06-30-03” error message?
eUMB takes a nightly feed from FAS (account code, start date, end date, Dept ID, Description, Manager ID and Manager Name). To see the information from FAS, run the UMB_CITS_VALIDATE_ACCTCODES query. The error message indicates that the start and end date entered on the EFP was inconsistent with the start and end date from FAS. Since eUMB gets the account code information from FAS, the user needs to contact Financial Services Quality Assurance to update the information in FAS. The user can update the EFP the day after the information is updated in FAS.

Why am I unable to enter “Weekly Elapsed Time” for a new hire.
This error may occur when the "Time Reporter" date is after the "Hire" date.

Compare the following dates:

Effective Date of the "Hire" Action on the "Work Location" tab of "Home > Administer Workforce > Administer Workforce (GBL) > Use > Job Data"
Effective date of "Create Time Reporter Data" on the "Maintain Time Reporter Data" tab of "Home > Define Business Rules > Define Time and Labor > Enroll > Maintain Time Reporter Data"
If the "Time Reporter Data" effective date is after the "Hire" effective date, and the time/leave being entered is for dates prior to the "Time Reporter Data" effective date, the TL Initiator will need to submit a Payroll Adjustment form for that time/leave.
